How to Enable Call Recording for Phone Numbers in Vantage CRM

    December 28, 20257 min read

Call recording is one of the most powerful features available in Vantage CRM. Whether you need it for quality assurance, team training, dispute resolution, or compliance, enabling call recording takes just a few clicks. This guide walks you through every step.

    Quick Overview

Call recording in Vantage CRM can be enabled per phone number from the Phone Numbers settings. Once turned on, all inbound and outbound calls on that number will be automatically recorded and accessible from the contact's conversation history.

    Why Enable Call Recording?

Before we dive into the how, let's cover the why. Businesses that record their calls consistently see improvements across multiple areas:

    • Team Training: Review real calls to coach your sales and support team on what works and what doesn't
    • Quality Assurance: Ensure every customer interaction meets your standards and SLA requirements
    • Dispute Resolution: Have a clear record of what was said during a call if any disagreements arise
    • Compliance: Meet regulatory requirements in industries like insurance, finance, healthcare, and legal
    • Never Miss Details: Go back and review call details instead of relying on memory or notes taken during the conversation

    Before You Start

Make sure you have the following before enabling call recording:

    1

    Admin or Agency Access

You need admin-level permissions to modify phone number settings. If you're a sub-account user, ask your agency admin to enable this for you.

    2

    An Active Phone Number

You need at least one phone number purchased and active in your Vantage CRM account. If you haven't set one up yet, go to Settings → Phone Numbers → Add Number first.

    3

    Understanding of Local Laws

Call recording laws vary by state and country. Some require one-party consent, others require all-party consent. Review the compliance section below before enabling.

    Step-by-Step: Enable Call Recording

Follow these steps to turn on call recording for any phone number in your Vantage CRM account:

    1

    Navigate to Phone Number Settings

From your Vantage CRM dashboard, go to:

    Settings → Phone Numbers

This will show you a list of all phone numbers associated with your account.

    2

    Select the Phone Number

Click on the phone number you want to enable recording for. This will open the number's configuration panel.

If you have multiple numbers (e.g., one for sales, one for support), you can enable recording individually for each one.

    3

    Find the Call Recording Toggle

In the phone number settings panel, look for the "Call Recording" or "Record Calls" option. It will be displayed as a toggle switch.

📍 Location: Phone Number Settings → Configuration → Call Recording

    4

    Turn On the Toggle

Click the toggle to enable call recording. The toggle should turn green/active indicating that recording is now on.

Once enabled, all future inbound and outbound calls on this number will be automatically recorded.

    5

    Save Your Changes

Click "Save" or "Update" to apply the changes. The recording feature is now active for that phone number.

That's it! Call recording is now enabled. All calls going forward will be recorded automatically.

    Recording Settings & Options

Depending on your Vantage CRM plan, you may have additional recording options available:

    SettingDescriptionRecommended
Inbound RecordingRecords all incoming calls to this numberON
Outbound RecordingRecords all outgoing calls made from this numberON
Recording AnnouncementPlays "This call may be recorded" message to callersON (for compliance)
TranscriptionAutomatically transcribes recorded calls to textOptional (if available)

    Pro Tip

We recommend enabling the recording announcement ("This call may be recorded for quality and training purposes") to stay compliant with all-party consent states. This one setting protects you from legal issues in every jurisdiction.

    Compliance Requirements

Call recording laws vary significantly by location. Understanding these laws is critical before you enable recording.

    One-Party Consent States

In one-party consent states, only one person on the call needs to know the call is being recorded (that can be you). Most US states follow this rule. This means you can record without notifying the other party, though we still recommend announcing it.

    All-Party (Two-Party) Consent States

These states require all parties on the call to be informed and consent to the recording:

    California
    Connecticut
    Florida
    Illinois
    Maryland
    Massachusetts
    Michigan
    Montana
    Nevada
    New Hampshire
    Oregon
    Pennsylvania
    Washington

    Important Legal Note

If you do business across multiple states, the safest approach is to always announce that the call is being recorded. This keeps you compliant everywhere. Vantage CRM's recording announcement feature handles this automatically.

    How to Access Call Recordings

Once recording is enabled, here's how to find and play back your recorded calls:

    1

    From the Contact Record

Open any contact → Go to the Conversations tab → Find the call entry → Click the play button to listen to the recording.

    2

    From the Conversations Tab

Navigate to Conversations from the main menu → Filter by Calls → Select any call to view its recording.

    3

    From Reporting

Go to ReportingCall Reporting → Click on any call entry to access the recording and details.

    Storage Note

Call recordings are stored in your Vantage CRM account and are available for playback at any time. Recordings are retained according to your account's plan and settings. If you need to download a recording, click the download icon next to the playback button.

    Best Practices for Call Recording

To get the most out of call recording, follow these proven best practices:

    • Always enable the recording announcement: Even in one-party consent states, it builds trust and keeps you covered legally in every jurisdiction
    • Review calls weekly: Set aside 30 minutes each week to review recorded calls with your team. Focus on both successful calls and missed opportunities
    • Create a call scorecard: Develop criteria for evaluating calls (greeting, needs assessment, objection handling, close attempt) and score each reviewed call
    • Use recordings for onboarding: Build a library of your best calls and use them to train new team members on your sales process and tone
    • Enable on all numbers: Don't just record your sales line. Record support calls too to identify common issues and improve your product or service
    • Inform your team: Make sure all employees who handle calls know that recording is enabled and understand the compliance requirements

    Troubleshooting Common Issues

Recording not appearing after a call?

Make sure you clicked "Save" after enabling the toggle. Also check that the call was made through Vantage CRM and not through an external dialer. Only calls routed through the platform will be recorded.

    Recording announcement not playing?

Verify that the "Recording Announcement" or "Whisper Message" option is enabled separately from the recording toggle. Some configurations require both to be turned on independently.

    Can't find the recording setting?

If you're a sub-account user, the recording option may need to be enabled at the agency level first. Contact your agency admin or reach out to our support team.
