Reputation Management in Vantage CRM: Get More 5-Star Reviews on Autopilot

    December 28, 20256 min read

Your online reputation is your most valuable marketing asset. 93% of consumers say online reviews influence their purchasing decisions, and businesses with 4+ stars on Google earn 28% more revenue than those below. Vantage CRM gives you a complete reputation management system to request, monitor, and grow your reviews on autopilot.

    Quick Overview

Vantage CRM's Reputation Management is found under the Reputation tab in your dashboard. From there you can connect Google and Facebook, send review requests via SMS or email, automate requests after appointments, and monitor all incoming reviews in one place.

    Why Reputation Management Matters

Most businesses leave their online reputation to chance. They hope happy customers will leave reviews on their own. The reality? Only 5-10% of satisfied customers leave reviews unprompted. But when you ask, that number jumps to 70%+.

    28%

more revenue for businesses with 4+ stars

    • Local SEO Boost: Google ranks businesses with more positive reviews higher in local search results and Google Maps
    • Trust & Credibility: Reviews serve as social proof that builds instant trust with potential customers who've never heard of you
    • Competitive Edge: Businesses that actively manage their reputation outperform competitors who don't, even if their service is similar
    • Feedback Loop: Negative reviews caught early let you fix problems before they snowball into a reputation crisis

    Accessing Reputation Management

Here's how to get to the reputation management dashboard:

    1

    Log into Vantage CRM

Sign in to your account dashboard with admin or manager access.

    2

Click "Reputation" in the Left Sidebar

You'll find it in the main navigation menu. This opens the reputation management hub.

    Sidebar → Reputation

    3

    Explore the Dashboard

You'll see your overall rating, total reviews, recent reviews, and options to send review requests and configure automations.

    Connecting Your Review Platforms

Before you can monitor and request reviews, you need to connect your review platforms:

    • Google Business Profile: The most important platform for local businesses. Connect your Google account to pull in all existing reviews and monitor new ones
    • Facebook Page: Connect your business Facebook page to monitor and respond to Facebook recommendations

    How to Connect Google

    1

    Go to Reputation → Settings

Click the settings or integrations tab within the reputation section.

    2

    Click "Connect Google"

Sign in with the Google account that manages your Google Business Profile and authorize access.

    3

    Select Your Business Location

If you have multiple locations, select the one you want to connect. Your existing reviews will sync automatically.

    Sending Review Requests

The fastest way to get more reviews is to simply ask. Vantage CRM makes it easy to send personalized review requests via SMS or email.

    1

Go to Reputation → Send Review Request

Click the "Request Review" button in the reputation dashboard.

    2

    Select the Contact

Search by name, email, or phone. You can select multiple contacts for bulk requests.

    3

    Choose SMS or Email

SMS gets 45%+ response rates compared to 10-15% for email. We recommend SMS whenever possible.

    4

    Customize & Send

Edit the template message if needed, then send. The customer gets a direct link to leave a review on Google or Facebook.

    SMS Review Request Template

"Hi [First Name], thank you for choosing [Business Name]! We'd love your feedback. Could you take 30 seconds to leave us a review? [Review Link] - It means the world to us!"

    Automating Review Requests

Manual requests work, but automation is where the magic happens. Set it up once and every happy customer gets a review request at the perfect moment.

    1

Go to Automations → Create Workflow

Navigate to Automations and create a new workflow.

    2

    Set Your Trigger

Common triggers: Appointment Completed, Pipeline Stage → "Won", Invoice Paid, or Tag "Happy Customer" Applied.

    3

Add a 1-2 Hour Wait Step

Give the customer time to settle before asking. Don't wait more than 24 hours or the experience won't be fresh.

    4

    Add "Send Review Request" Action

Choose SMS (recommended) and the system automatically includes the review link and personalizes the message.

    5

    Optional: Add a Follow-Up

If they don't leave a review within 3 days, send one gentle follow-up. This can increase your review rate by 30-40%.

    Don't Over-Ask

Never send more than 2 review requests per customer. One initial request + one follow-up is the sweet spot. More than that feels pushy and can hurt your brand.

    Monitoring & Responding to Reviews

Getting reviews is only half the battle. How you respond matters just as much.

Responding to Positive Reviews (4-5 Stars)

    • • Thank them by name
    • • Reference something specific from their experience
    • • Invite them back or mention an upcoming offering
    • • Keep it short and genuine (3-4 sentences)

Responding to Negative Reviews (1-3 Stars)

    • • Respond within 24 hours
    • • Acknowledge frustration without being defensive
    • • Apologize and take ownership
    • • Offer to resolve it offline
    • • Never argue publicly, even if the review is unfair

    Reputation Widgets for Your Website

Display your reviews directly on your website using embeddable widgets:

    • Review Widget: Display a scrollable feed of your latest 5-star reviews on any page
    • Star Rating Badge: Show your overall rating and review count as a compact badge
    • Review Funnel Link: Create a branded landing page where customers can leave reviews directly

    Reputation Management Best Practices

    • Ask every customer: Make review requests part of your standard post-service workflow
    • Time it right: Send requests 1-2 hours after service when the experience is fresh
    • Use SMS over email: SMS gets 3-4x higher conversion rates
    • Respond to every review: 100% response rate shows you care. Google also favors businesses that respond
    • Never buy fake reviews: Google can detect them and the penalties are severe
    • Set a monthly goal: Aim for 10-20 new reviews per month. Consistency matters more than volume
